Advancement Associate

Columbia Grammar & Preparatory School seeks a professional to serve as the Advancement Associate to work closely with all members of the department. The ideal candidate will be proactively engaged in all aspects of the work of the Advancement Office, which includes special events, fundraising, communications, marketing, volunteer management and support, information systems management and related activities that enhance the total voluntary support for the School.  This person will be actively engaged on a daily basis with all of the constituents of the School, including: current parents, alumni, parents of alumni, faculty, staff and the broad community of colleagues in independent schools in New York City and other NAIS member schools. This individual is expected to be a valued member of the Advancement Office team and work collaboratively with both colleagues and constituents at CGPS.



Data and Gift Management:

  • Assist in coding and tracking all gifts and prepare reports as directed by the Assistant Director of Institutional Advancement.
  • Assist all aspects of data management in Raiser's Edge database and help prepare the database for conversion to Veracross.
  • Support proper acknowledgment of donors in a timely fashion.
  • Assist in execution of donor pledge agreements, pledge reminders and steward pledge fulfillment.
  • Work collaboratively with colleagues to ensure constituent records are up to date with biographical and gift information.
  • Update contact information through return mail, mailing list cleanup and mass email platform maintenance.
  • Aggregate incoming donor information and ensure records are accurately and regularly updated, including adding new constituents, updating biographical information, noting event attendance and entering contact reports.
  • Liaise with the Business Office regarding donation-related items and adjustments.
  • Represent the Advancement Office with the highest level of professionalism and discretion.



  • Participate actively to ensure all communications are aligned with the mission and identity of CGPS, and help to support best practice in School communications.
  • Assist in maintaining the School’s social media presence.
  • Assist the Communications Coordinator as needed with photography, writing and video production for all communication platforms including special events.


Other Duties:

  • Support aspects of all fundraising events, including the Benefit, CGPF, capital efforts and all events as assigned. This includes events that occur on evenings and occasional weekends.
  • Manage connections with CGPS alumni through email and social media and update data as necessary.
  • Coordinate events for alumni and help coordinate the Alumni Reunion and the Alumni Council.
  • Assist in all Advancement Office direct mail projects.
  • Work collaboratively with colleagues and advancement volunteers.
  • Perform other duties as assigned.


Immediate Priorities:

  • Effectively work with colleagues and volunteers in the Advancement Office to plan and prepare for the 2019-2020 Advancement Office projects and goals.



  • BA required and two years of development experience preferred.
  • Perform all professional duties efficiently and punctually.
  • Excellent communication skills.
  • Creative thinker, collaborator and eager to learn new ways to engage with the school community and beyond.
  • Strong organizational skills. Attention to detail and ability to prioritize tasks appropriately.
  • Strong interpersonal skills.
  • Strong proficiency in all Microsoft applications, Google applications and Blackbaud’s Raiser’s Edge (preferred).


Work Hours

  • 8:00 am - 4:00pm
  • Additional hours for special events and other duties may be required
